How to Export a Data File

Overview

1. From IFP Home select Databases / Files > Data File Manager.
2. Select the file you wish to export.
3. From the toolbar select Tools > Export.
4. Set the Export Options:
   1. Browse (...) for the Target File location and set the name and type (see below).
   2. Set the Conversion Table, if any.
   3. Select whether or not to export any comments found for the selection.
   
5. Click Next.
6. Select the items you wish to include in the export using any combination of Item Tables, Item Codes or Classification Variables. You can also Load a saved Item Favourite here.
7. Click Next.
8. Set the Reporting Options:
   1. Select the single Level of Detail you wish to export at. This would usually be the Base Level of the Item Code.
   2. Select the Currency you wish to export the values in on the Currencies tab.
   3. Set the data types to include and whether or not to include zero lines on the Inclusions tab. For re-import into IFP, include just Units and Value.
   4. You can save the Item Selections and Reporting Options as an Item Favourite here for future use if this process is to be repeated.
9. Click Next.
10. On the Run Data File Export screen:
    1. Review the settings listed
    2. Run Export
    3. Check the summary and messages (if any). If the export did not run as expected, you can step Back through the wizard to correct any issues before re-running.
    4. The exported file is available directly - click View Output.
    5. If required, Save Results (the settings, summary and messages of the export).
11. Click Next
12. On the Save AutoTask screen you can, if using a saved Item Favourite, save these export settings as a Data File Export AutoTask to run automatically or to step through to avoid entering the settings in future.

Export File Types

1. Text Files
2. Excel Files - save in a format suitable for Excel, with header row.
3. Comma Separated Values Files (CSV) - save in delimited format, and allow selection of Delimiter (comma, semicolon or tab). A header row will be included.
