Overview
This AutoTask allows you to export a data file out of IFP using an automated process, or to step through the manual process with predefined selections.
Create the AutoTask
Note: An AutoTask requires a saved Item Favourite, so either Load an existing Item Favourite or Save an Item Favourite from the settings you make. It is also advisable to Run the Export to ensure it works as expected.
You should make selections as you would normally do to export a data file. On the final Save AutoTask page of the Export Data File Wizard, you can then Save As New AutoTask, saving in a Public File. You may also Use relative years to avoid having to update the source file year as the database environment settings change (e.g. if the AutoTask is created in 2018 and exports the 2018 WKFC, then with Use relative years selected, when the database current year is 2019 the AutoTask will automatically export 2019 WKFC).
Run the AutoTask
When you run the AutoTask, IFP will export the selected data file using all of the options previously selected, without requiring further interaction. See How to Run AutoTasks for the different ways that you can run AutoTasks in IFP.
Output tab
After the AutoTask is run the Output tab shows the results of the data file export, i.e. how many records were created. You can also click Save Results… to save a description of the task and the contents of the Output tab to a file.
Common Issues
There are some common issues that you should be aware of when creating and running a Data File Export AutoTask.
No Item Favourite Selected when saving the AutoTask
You must use a saved Item Favourite in order to be able to save an AutoTask, otherwise you will see the following error message:
To correct this, go back to Item Selection page and select an appropriate Item Favourite or go back to the Reporting Options page and save your selections as a new Item Favourite. You will now be able to Save As New AutoTask.
Item Favourites file not found
The Item Favourite the AutoTask was using has been removed or renamed (this will be indicated on the General tab or AutoTask Properties). You will need to Edit the AutoTask and select the renamed or replacement file to resolve this.
