What is a Local Administrator?
In IFP Standard Edition, a local administrator is the highest level of user for an IFP installation, being responsible for the management of databases and security across all databases.
In IFP Enterprise Edition, many of the security settings are controlled by Regional Administrators. Regional Administrators are therefore responsible for several Local Administrators.
Listed below are the main responsibilities of Local Administrators. Wherever possible, each task links to the relevant topic in the Help Centre. For everything else, the exact process is specific to each country, so local documentation should be consulted.
Managing Data
Maintain Actual Data
- Import and validate actual data from SAP download files
- Import other actual data (e.g. headcount data)
Manage forecast files
- Create working forecast/plan files
- Prepare initial working forecast files (including actuals and previous forecasts)
- Lock working forecast files
Maintain Item Codes
- Maintain mappings for existing item codes
- Create new item codes for planning purposes in both P&L and Sales databases
Maintain database environment settings
- Maintain current year/month
- Maintain current forecast/plan files
Maintain exchange rates, currencies and trading days
Maintain Item Code Classification Variables
- Create new variables
- Maintain lists of valid codes and descriptions (e.g. cost centres)
Maintain Key Report / Crosstabulation Definitions
- Maintain report definitions for general use (e.g. P&L, Key Products)
- Maintain crosstabulation definitions for general use (e.g. Analysis by BU)
Security
Manage User Accounts for their country
- Create/edit/delete users
- Reset forgotten passwords / locked accounts
- Grant/deny access to local databases
Manage User Profiles
- Create User Profiles for individual users (usually to allow access to more features/files/item codes)
- Edit User Profiles for individual users
- Edit the Default User Profile to restrict access to features(e.g. Database Management). The Default User Profile is used for all users who do not have their own User Profile
Create Regular Database Backups
Not so day-to-day tasks
File System Management
- Create sub-folders to organise packages etc.
Manage Projects
Manage Organisational Units (OUs) for their country (Enterprise Edition)
- Create/edit/delete Organisational Units.
- Grant/deny access to local databases
